Mechanical (HVAC) takeoff: counting equipment from the schedules

A mechanical takeoff is count-first. The equipment and fixture schedules already list every unit once, so reading those tables correctly gives you the exact, defensible layer — RTUs, fan-coils, pumps, plumbing fixtures. Ductwork and piping are measured off the plans on top. The rule that saves you: when a schedule states its own total, that total wins over counting rows.
Count first, measure second
Mechanical drawings come with dense schedule tables, and they're gold because they're already tabulated:
- Equipment schedules — RTUs, air handlers, VRF condensers and fan-coils, ERVs, exhaust fans, pumps, reheat coils, DHW tanks, heat exchangers.
- Plumbing fixture schedules — water closets, urinals, lavatories, sinks, floor and roof drains.
- Terminal & diffuser schedules — VAV boxes, grilles, registers.
Transcribing these to counts is the exact part. Ductwork and piping lengths, measured off the plans, are the less-precise part on top.
The rule: the stated total wins
Schedules sometimes list items across multiple lines but print their own overall total ("Grand total: 31"). When they do, the stated total is the count — not the number of rows, which can double-count multi-line entries. Reading the printed total, where the table gives one, beats counting rows.
What to take off
- Equipment — every scheduled unit by type and count; note the system type (VRF vs. AHU/VAV changes the whole scope).
- Ductwork — supply, return, exhaust by size, off the plans.
- Piping — hydronic, refrigerant, gas, plumbing by size and length.
- Plumbing fixtures — from the fixture schedule, by type.
- Insulation, controls, dampers — carried against the duct/pipe runs.
Common mistakes
- Counting rows instead of the stated total — over-counts multi-line entries.
- Missing the system type — taking off equipment the design doesn't use.
- Treating measured ductwork as exact — it's an estimate, unlike the scheduled counts.
- Skipping the small schedules — force-flow heaters, silencers, specialties add up.
